ABA Case Coordinator (Mandarin Bilingual)

About the role

The ABA Case Coordinator is a high‑impact operations professional who ensures seamless client‑therapist scheduling, authorization management, and continuity of care. This role sits at the intersection of clinical operations and client services, driving Medicaid compliance and workforce satisfaction.

Key responsibilities

• Match RBTs/BTs with clients based on location, availability, language, and clinical fit, and build weekly/monthly schedules.
• Resolve scheduling disruptions with same‑day urgency and monitor therapist workloads to prevent burnout.
• Track authorized hours, alert teams to upcoming renewals, and maintain audit‑ready records in Zoho and other EHR systems.
• Serve as primary liaison for therapists, coordinate with BCBAs, communicate with families, and support intake onboarding.
• Generate weekly operational reports, analyze trends in cancellations/no‑shows, and ensure real‑time data updates.

Required profile

• Organizational expert able to manage a high‑volume caseload with attention to detail.
• Effective communicator comfortable handling sensitive family conversations and technical discussions with clinical leadership.
• Self‑starter with a strong sense of accountability in fast‑paced environments.
• Accuracy‑focused mindset for zero‑error data entry and compliance documentation.

Required skills

• Proficiency with Google Workspace and Microsoft Office.
• Experience using EHR or CRM platforms, preferably Zoho.
